How Sailward Media collects, uses, shares and protects personal data — and the rights you have over it.
1. Who we are
Yuanqi Fort Bureau LLC, a California limited liability company, operates under the Sailward Media brand ("Sailward", "we", "us", "our"). We provide advertiser account opening, account funding, platform access and related support services for Google, Meta and TikTok advertising.
For the purposes of the EU and UK General Data Protection Regulation (GDPR), Yuanqi Fort Bureau LLC is the data controller in respect of the personal data described in this policy. You can reach us at contact@sailwardmedia.com. See our company information page for registration details.
2. Scope
This policy applies to personal data we process when you visit our website, submit an enquiry, or engage us as a client or partner. It does not cover the processing carried out independently by advertising platforms such as Google, Meta or TikTok, which act as separate controllers under their own privacy policies.
3. Personal data we collect
Data you give us
- Contact details: name, work email address, WhatsApp or Telegram handle, company name, job title and website
- Commercial information: markets, platforms of interest, expected monthly advertising spend and the nature of your request
- Correspondence: the content of messages, emails and meeting notes
Data generated in the course of providing services
- Advertising account identifiers and business manager or manager-account structures
- Business verification information and supporting documents required by the advertising platforms
- Billing details, invoicing records and payment references
- Records of restrictions, policy reviews and appeals
Data collected automatically
- IP address, approximate location, browser type and version, device type, operating system, referring URL and pages viewed
- Cookie and similar identifiers — see our Cookie Policy
4. Why we process your data, and our lawful bases
Under Article 6 GDPR we rely on the following lawful bases:
- Performance of a contract (Art. 6(1)(b)) — to provide the channel services you have engaged us for, including account opening, funding and support.
- Pre-contractual steps (Art. 6(1)(b)) — to prepare proposals and answer your enquiry.
- Legal obligation (Art. 6(1)(c)) — to comply with anti-money-laundering, tax, accounting and platform compliance obligations that apply to us.
- Legitimate interests (Art. 6(1)(f)) — to run and improve our business, respond to enquiries, prevent fraud and abuse, maintain security, and send service-related communications to existing clients. We balance these interests against your rights and freedoms.
- Consent (Art. 6(1)(a)) — for non-essential cookies and any marketing communications sent to non-clients. You may withdraw consent at any time.
5. Sharing your data
We do not sell personal data. We share it only where necessary, with:
- Advertising platforms (Google, Meta, TikTok) — as required to open, verify, fund and support advertising accounts on your behalf
- Payment and banking providers — to process funding and billing
- IT, hosting and communications providers — acting as processors under written agreements
- Professional advisers — legal, accounting and audit support under duties of confidence
- Authorities and regulators — where we are legally required to disclose, or where necessary to establish or defend legal claims
6. International transfers
Some of our processors and the advertising platforms we work with are located outside the European Economic Area and the United Kingdom. Where personal data is transferred outside these areas, we rely on an adequacy decision of the European Commission or the UK Government, or on the Standard Contractual Clauses together with supplementary technical and organisational measures. You may request a copy of the relevant safeguards by contacting us.
7. Retention
- Enquiries that do not become clients — up to 24 months from last contact
- Client and account records — for the duration of the relationship plus the statutory retention period applicable to financial and tax records (typically six to seven years)
- Verification and compliance documents — for as long as required by platform rules and applicable anti-money-laundering law
- Website analytics data — see the retention periods stated in our Cookie Policy
8. Your rights
Subject to the conditions in the GDPR, you have the right to:
- access the personal data we hold about you and receive a copy
- request correction of inaccurate or incomplete data
- request erasure of data we no longer need
- request restriction of processing
- object to processing based on legitimate interests
- receive your data in a portable format, or have it transmitted to another controller
- withdraw consent at any time, where processing is based on consent
To exercise any of these rights, email contact@sailwardmedia.com. We will respond within one month, and may ask you to verify your identity first. If you believe we have handled your data unlawfully, you have the right to lodge a complaint with the supervisory authority in your country of residence, place of work, or place of the alleged infringement.
9. Security
We apply technical and organisational measures appropriate to the risk, including access controls, encryption of data in transit, segregation of client accounts, vendor due diligence and staff confidentiality obligations. No system is perfectly secure, but we review our measures as the scope of our processing changes.
10. Children
Our services are intended for businesses. We do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, contact us and we will delete it.
11. Automated decision-making
We do not use your personal data for automated decision-making that produces legal effects or similarly significantly affects you.
12. Changes to this policy
We may update this policy to reflect changes in our practices or the law. The "last updated" date at the top will change accordingly, and material changes will be communicated to active clients directly.
13. Contact
